CT Events — Client Service & Booking Policy

This policy outlines how Concentrated Touch Events & Experiences Ltd. ("CT Events," "we," "us") works with clients from initial inquiry through to event completion. It should be read alongside our Terms & Conditions and Privacy Policy.
1. Consultations
An initial consultation, whether by phone, video call or in person, is offered at no cost to discuss your event and determine whether we're a good fit. Formal planning begins only after a signed service agreement and deposit.
2. Booking & Deposits
A non-refundable deposit (typically 30–50% of the total service fee, confirmed in your proposal) is required to secure your date and begin planning. Your date is not held or guaranteed until the deposit is received and the service agreement is signed by both parties.
3. Payment Schedule
The remaining balance is payable according to a schedule agreed in your service contract, typically in structured installments leading up to your event date, with the final balance due no later than 14 days before the event unless otherwise agreed in writing.
4. Scope of Services
Services provided are exactly as outlined in your signed proposal and contract. Any additions or changes to scope after signing (extra guests, additional services, date changes) will be documented in a written addendum with any associated cost adjustment agreed before work begins.
5. Vendor Relationships
CT Events acts as your representative and coordinator with third-party vendors (venues, caterers, photographers, decorators, entertainers, etc.). Vendor contracts, where applicable, are typically between the client and the vendor directly, unless CT Events has explicitly agreed in writing to contract a vendor on the client's behalf. We are not liable for a vendor's failure to perform, but we manage vendor relationships diligently and will act promptly to resolve any vendor issue that arises.
6. Rescheduling
If you need to reschedule your event date, we will make reasonable efforts to accommodate the new date, subject to our availability and that of confirmed vendors. Rescheduling may involve additional fees, particularly where vendor contracts must be renegotiated.
7. Cancellations
Cancellations must be submitted in writing. Deposits are non-refundable. Any additional payments made toward vendor bookings or services already committed on your behalf at the time of cancellation may also be non-refundable, depending on individual vendor terms — we will always disclose vendor cancellation terms to you in advance where possible.
8. Force Majeure
Neither party is liable for delay or failure to perform obligations due to circumstances beyond reasonable control, including but not limited to natural disasters, government restrictions, civil unrest, or public health emergencies. In such cases, we will work with you in good faith on rescheduling or alternative arrangements.
9. Communication
Our standard business hours for communication are Monday–Saturday, 9am–6pm (WAT). Response times outside these hours, including on WhatsApp, are best-effort. In the lead-up to your event (final 2 weeks), a dedicated communication channel will be agreed for time-sensitive updates.
10. Client Responsibilities
Timely responses to requests for decisions, approvals and payments are essential to keeping your event on schedule. Delays in client decision-making may affect vendor availability, pricing, or the overall timeline, and CT Events cannot be held responsible for impacts caused by such delays.
11. Photography & Portfolio Use
Unless a client requests otherwise in writing, CT Events may photograph and document events for portfolio, marketing and social media purposes. Clients may opt out of this at any time by notifying us in writing before the event.
12. Complaints & Resolution
If you're ever unhappy with any aspect of our service, please raise it with us directly and as soon as possible — we would rather resolve an issue quickly than have it go unaddressed. Formal complaints can be submitted in writing to info@cteventex.com and will be acknowledged within 3 business days
